Mastering knowledge sharing: KIROI Step 1 for decision-makers

Today, knowledge sharing is a decisive factor for the success of many organisations. Decision-makers are increasingly recognising that knowledge not only needs to be documented, but should also be actively shared. Successful knowledge sharing strengthens collaboration, promotes innovation and helps to overcome challenges together. Many clients come to me with the question of how they can organise this process systematically and sustainably.

Why knowledge sharing is so important

Knowledge is an organisation's most valuable asset. It is created every day in projects, meetings and conversations. But without knowledge sharing, this potential often remains unutilised. Many teams work in isolation because they don't know what other colleagues have already achieved. This leads to duplication of work and missed opportunities.

A practical example: In a large service company, two departments were working on similar solutions in parallel. It was only through a targeted exchange of knowledge that they realised they could combine their approaches. This saved time and significantly improved the result.

Sharing knowledge is also crucial in research. Teams that regularly share their findings develop new approaches more quickly. They benefit from the experience of others and avoid mistakes that have already been made.

In production, knowledge sharing helps to optimise processes. If you know how a colleague has solved a problem, you can apply this solution directly. This increases efficiency and reduces downtime.

Promoting knowledge exchange in the team

Knowledge exchange through regular meetings

Regular team meetings are an effective tool for sharing knowledge. Here, employees can share their experiences and ask questions. It is important that everyone involved is actively invited to contribute their perspectives.

One example: In an IT company, the team held weekly retrospectives. Successes and challenges were discussed. This promoted the exchange of knowledge and helped to find solutions more quickly.

Teams in the healthcare sector also use such meetings. Doctors and nursing staff exchange information about treatment approaches. This improves patient care and strengthens team spirit.

In education, teachers use knowledge sharing to optimise teaching methods. They discuss what has worked well and what can be improved.

Sharing knowledge through digital platforms

Digital platforms facilitate the exchange of knowledge. They provide a central location where information can be collected and shared. Many organisations use intranets or knowledge databases.

One example: A large consultancy firm uses an internal platform on which employees document their project experiences. Others can search this content and use it for their own projects.

Companies in the logistics sector are also relying on digital solutions. Drivers and dispatchers exchange information about routes and challenges. This improves planning and reduces disruptions.

In the financial sector, teams use digital platforms to share up-to-date market information. This helps them to react more quickly to changes.

Support knowledge exchange in projects

Projects are often an ideal framework for knowledge exchange. This is where different experts work together and contribute different perspectives. Transruption coaching supports teams in promoting this exchange in a targeted manner.

One example: In an innovation project, engineers and designers regularly exchanged ideas. This led to creative solutions that would otherwise not have been developed.

Sharing knowledge is also crucial in the development of new products. Teams that communicate openly with each other develop products that are better tailored to the needs of customers.

Sharing knowledge helps to reduce uncertainty when implementing change processes. Employees learn what others have already experienced and are better able to adapt to change.

BEST PRACTICE with one customer (name hidden due to NDA contract) and then the example with at least 50 words.

A medium-sized industrial company wanted to increase its innovative strength. The employees often worked in isolation and did not share their knowledge systematically. With targeted workshops and a new platform for knowledge exchange, they were able to share their experiences better. This led to faster solutions and a stronger team culture. The project management reported that collaboration had become significantly more efficient.

My analysis

Sharing knowledge is not a one-off act, but a continuous process. It needs the right framework conditions and a culture that promotes it. Decision-makers can achieve a great deal by actively supporting and accompanying knowledge sharing. The examples show that the benefits for teams and organisations are huge. Those who master knowledge sharing create the basis for sustainable success.
