KIROI Step 1: How to successfully exchange knowledge

4.5
(1217)

The systematic and orderly exchange of knowledge forms the foundation for success in modern organisations. At a time when information and expertise are the most valuable assets, real strength is only created through the conscious and efficient transfer of knowledge. But how does this step 1 in knowledge sharing succeed - and how can accompanying measures support the process in a meaningful way? This article provides practical ideas and uses examples from various industries to demonstrate the benefits and implementation of a successful knowledge exchange process.

Knowledge sharing as a key basis for success

Knowledge sharing refers to the targeted transfer of information, skills and experience between employees, teams or entire departments. It is not just about transferring report data or documents, but also about sharing implicit knowledge that often lies dormant in the heads of experienced specialists. Successful knowledge sharing creates transparency, promotes innovation and supports solution-orientation in complex projects. In the IT industry, for example, teams report that they are able to complete troubleshooting much faster thanks to regular know-how sessions because experts share their tacit knowledge.

In the financial services industry, employees experience how the exchange of compliance experience between branches reduces the risk of errors. The manufacturing industry also benefits: In workshops, quality improvements become visible and downtimes are reduced by sharing tried-and-tested production processes.

Step 1 in understanding and organising knowledge exchange

The first step is to realise and define what should be shared in the first place and who the knowledge providers and knowledge recipients are. This is where the identification of key people who have valuable expertise and the identification of knowledge needs in different teams and areas begins.

A company from the consumer goods industry, for example, started with an inventory of existing expert knowledge and defined knowledge questions for each department. The communications department realised that its knowledge of new marketing channels was barely documented, while logistics had significant experience of supply chain problems that had not been systematically passed on.

A consulting firm also introduced regular meetings as step 1 in order to specifically record the need for experience with project management tools. In this way, employees who could benefit most from each other were networked with each other. This showed that not every form of exchange is equally helpful - it must be chosen to suit the topic and the target group.

BEST PRACTICE with one customer (name hidden due to NDA contract) The customer from the energy sector introduced a knowledge map that visualised all relevant specialist skills. Workshops were held to determine which knowledge gaps exist and who could act as a mentor. This promoted dialogue between the locations and strengthened internal expertise, particularly in new technologies such as smart grids.

The importance of corporate culture and technology in the first step

Even if technology is important in supporting knowledge sharing, the corporate culture remains the decisive factor. Trust and openness motivate employees to actually share their knowledge. For example, many companies rely on digital platforms such as social intranets, which facilitate the exchange of information across departmental boundaries.

For example, a start-up in the field of software development established a chat group in which short updates on problems and solutions are posted daily. This helped to break down silo thinking and greatly improved mutual understanding.

A logistics service provider also utilised modern video conferencing systems to enable training sessions despite being distributed across different locations. Employees often report how much they feel supported by direct questions in real time. Such technical aids are necessary companions, but do not replace the need to promote open communication.

Shaping knowledge exchange: Tips for practice

Finally, some recommendations that actively support the first step of knowledge exchange:

  • Carry out an inventory: Identify knowledge carriers and current knowledge gaps.
  • Rely on customised forms of communication: From informal discussions and workshops to digital tools - vary the methods.
  • Promote a culture of trust: Encourage employees to share their experiences openly and create space for feedback.
  • Use technical platforms sensibly without neglecting personal dialogue.
  • Support the exchange process with experienced coaches who can act as moderators.

In medical technology, for example, such measures enabled mutual support during the introduction of new devices by systematically sharing technical details and practical experience. In automotive engineering, on the other hand, production teams benefited from regular dialogue about quality improvements and the origin of errors. Advertising teams also reported faster campaign cycles thanks to the exchange of creative insights.

My analysis

The first step in knowledge sharing lays the foundation for long-term success. It is more than just passing on information; it is about identifying and activating knowledge in a targeted manner and creating the right framework conditions. The combination of an open corporate culture, suitable communication channels and technological support provides an effective basis. In this way, organisations can not only give impetus to their projects, but also strengthen the entire workforce for future challenges. The exchange of knowledge acts as a motor for continuous learning and innovation.
